Capitrad Advisors Limited’s ICO registration is ZB835592. TMG Direct Limited’s ICO registration is ZA178200. Capitrad is an Appointed Representative of TMG Direct Limited. TMG may receive information relevant to supervision, compliance and handling complaints.
Information we use
If you send an enquiry, we use your name, email address, telephone number if provided and enquiry topic. Emails and messages may include other information you choose to provide. Our hosting and security services may process technical information such as IP addresses and security logs. We use a short-lived, hashed network identifier to limit repeated form submissions.
If you proceed to mortgage or protection advice, we may need identity, household, financial and application information. Our case-management system is OMS. We will explain the information needed and how to provide documents securely. The initial website form does not request medical information, financial documents or identity documents.
Why we use it
We use enquiry information to respond and take steps you request before entering into a contract. Where applicable, we process information to perform our agreement, comply with legal and regulatory duties, and pursue legitimate interests in administering and protecting our service, preventing fraud and handling complaints. We consider your rights when relying on legitimate interests. Optional analytics requiring consent are used only when you permit them. We do not treat sending an enquiry as consent to marketing.
Where advice or support requires health or other special-category information, we will explain its purpose and identify an appropriate additional condition before processing it.
Sharing and service providers
Relevant recipients may include TMG Direct Limited, lenders, insurers, our case-management, hosting and email providers, professional advisers and regulators, depending on the service and lawful purpose. Initial website enquiries are routed by email to our business mailbox. We do not automatically submit a mortgage application from this form.
Third-party providers may process information outside the UK. Where a restricted transfer takes place, appropriate safeguards or another valid transfer mechanism are required. Contact us for information about the safeguards applicable to your case.
WhatsApp and external links
If you choose WhatsApp, its provider also handles information under its own privacy arrangements. You can telephone or email us instead. Please do not send identity documents, bank statements or health information through an initial WhatsApp message or ordinary enquiry. Linked websites have their own privacy notices.
Keeping information
We retain information for the purpose for which it was collected and relevant legal, regulatory and complaint-handling needs. Enquiry information is reviewed when the enquiry concludes; information needed for an ongoing service, regulatory records, complaints or legal claims may be retained longer. The relevant criteria include whether a client relationship exists, applicable recordkeeping duties and the need to establish or defend a claim. Ask us for the retention arrangements applicable to your information.
Your choices and rights
Depending on the circumstances, you can request access, correction, erasure, restriction or portability of information, and object to certain uses. These rights have conditions and exceptions. You can also complain to the Information Commissioner’s Office at ico.org.uk. You do not have to contact us before doing so.
